Project Administrator & Collaborator

1.Job description
We are looking for a Project Administrator & Collaborator to coordinate project activities, including simple tasks and larger plans. You will manage schedules, arrange assignments and communicate progress to all team members.
Your responsibilities include preparing action plans, analyzing risks and opportunities and gathering necessary resources. For this role, you will work with a team of Project Managers and Account Managers, so good communication and collaboration skills are essential.
Ultimately, you will ensure our projects meet quality standards and are completed on time and within budget

  • Ensure standards and requirements are met through conducting quality assurance tests
  • Retrieve necessary information (e.g. user/client requirements and relevant case studies)
  • Schedule regular meetings and record decisions (e.g. assigned tasks and next steps)
  • Coordinate project management activities, resources, equipment and information
  • Act as the point of contact and communicate project status to all participants
  • Create and maintain comprehensive project documentation, plans and reports
  • Issue all appropriate legal paperwork (e.g. contracts and terms of agreement)
  • Liaise with clients to identify and define requirements, scope and objectives
  • Prepare and provide documentation to internal teams and key stakeholders
  • Coordinate quality controls to ensure deliverables meet requirements
  • Assign tasks to internal teams and assist with schedule management
  • Break projects into doable tasks and set timeframes and goals
  • Use tools to monitor working hours, plans and expenditures
  • Monitor project progress and handle any issues that arise
  • Make sure that clients’ needs are met as projects evolve

2. Request

  • Work experience as a Project Administrator, Project Coordinator or similar role
  • Hands-on experience with flowcharts, technical documentation and schedules
  • Experience in project management, from conception to delivery
  • An ability to prepare and interpret flowcharts, schedules and step-by-step action plans
  • Solid organizational skills, including multitasking and time-management
  • Strong client-facing and teamwork skills
  • Familiarity with risk management and quality assurance control
  • Strong working knowledge of Microsoft Project and Microsoft Planner
  • Hands-on experience with project management tools (e.g. Basecamp or Trello)
  • Knowledge of project management software (e.g. Trello or Microsoft Project)
  • Solid organization and time-management skills
  • Team spirit
  • BSc in Business Administration or related field
  • PMP / PRINCE2 certification is a plus
